Role Overview We are seeking a Mid-Level Project Manager to support a variety of cross-functional initiatives within the organization. This role will work closely with leadership team, contributing to both structured project delivery and ad-hoc strategic and administrative initiatives. The ideal candidate will have a foundational understanding of Agile/SAFe methodologies, strong coordination skills, and a proactive mindset. This position requires a hybrid presence (minimum 2 days onsite in Collegeville, PA) to enable effective coaching, collaboration, and stakeholder engagement.
Minimum 3 days onsite per week Ideal Candidate Profile • 6+ years of experience in project coordination or project management roles • Exposure to Agile/SAFe environments • Comfortable supporting both structured projects and ad-hoc leadership needs • Strong interpersonal skills with the ability to engage and influence without authority Key Responsibilities (Note: These responsibilities are not exhaustive and may evolve based on business needs.) Project Coordination & Delivery • Support basic project management activities, including planning, tracking, and execution of small-to-medium initiatives • Assist in Program Increment (PI) Planning preparation, including timelines, logistics, and documentation • Maintain project schedules, timelines, and deliverables tracking • Ensure alignment of tasks with project goals and deadlines Meeting & Stakeholder Management • Schedule meetings across teams and leadership stakeholders • Create and distribute structured meeting agendas and pre-read materials • Capture meeting notes, action items, and follow-ups • Coordinate departmental meetings and leadership forums Execution & Follow-through • Actively follow up (“chase”) stakeholders to ensure timely delivery of tasks and commitments • Track and report on progress against deliverables and milestones • Help remove blockers by escalating issues appropriately Risk & Dependency Management • Monitor and maintain team risks, issues, and dependencies • Assist in risk identification, documentation, and mitigation tracking • Proactively highlight potential delays or challenges Communication & Team Enablement • Help market the team internally through structured communications, updates, and storytelling • Prepare status reports, dashboards, and leadership updates • Support creation of presentations and communication artifacts Leadership & Administrative Support • Partner with Tim on special initiatives and ad-hoc tasks • Provide coordination and administrative support for leadership activities • Assist in organizing priorities and managing workload across teams Process & Continuous Improvement • Support adoption of Agile/SAFe practices and ways of working • Identify opportunities to improve team processes, workflows, and collaboration • Contribute to building standardized templates, tools, and best practices Required Skills & Qualifications Core Skills • Basic understanding of Agile frameworks (Scrum, SAFe preferred) • Strong organizational and coordination skills • Ability to manage multiple tasks and priorities simultaneously • Familiarity with project tracking tools (e.g., ADO, Jira, or similar) Soft Skills • Strong teamwork and collaboration mindset • Excellent verbal and written communication skills • High level of attention to detail • Demonstrated willingness to learn and grow • Proactive, self-starter attitude • Ability to work effectively with cross-functional stakeholders Additional Notes • This role is highly dynamic, supporting both operational execution and leadership initiatives • Responsibilities may expand based on business needs and individual capability |
